ANALYSING A EXHIBITION
Purpose: The purpose of UPFEST is to showcase Europe’s graffiti and street art talent. It takes place is Bedminster Bristol and draws crowds from all around.
Content: The festival consists of Graffiti artists and their work, people walk around Bedminster sampling all the art being created around them by very talented individuals.
Target audience/demographic: Fans of street art and graffiti are the immediate target audience though the event makes a good day out for anyone. I’d reckon it’s safe to say that the focus demographic would be the younger generations not only because Bristol is a student town but because the atmosphere created by UPFEST is very now, with the music selections, the art being created as well as the theme being very street, a lot of the older generations will appreciate the art thought the atmosphere might not be their most preferred.
Style: The style is very celebratory of street art and street culture with the graffiti artists all over creating mesmerising art while food vender and street performers rejuvenate the crowds of on lookers.
Location - Suitability: The event is located in Bedminster Bristol, just south west of the city centre. This may make is harder for people who live more towards the Gloucester to drive down though for the rest of us driving should not be a problem. Except there is a problem, because of UPFEST location oh a high street near many residential areas it makes it impossible for everyone going to mark close by. The best chance is to get a bus or just walk and enjoy the lovely weather that comes with UPFEST!
Legal and ethical issues: Legal and Ethical considerations for the event would be considering the impact the event has on it's imediate area for example the event runs all day and draws large crowds of people that drive from all across Bristol, this alone impacts the noise and care polution massively combined with paint fumes. Legal cinsiderations for the event would be the setting up and running of the event. For an event of this size a conduct has to be followed. All the stands need to have a permit for the event as well as follow the city councils rules for stands. This also applies for automatic level changing platforms used by the artists them selves. For an event of this size with the crowd of people being drawn mixed with the accesability of alchohol there needs to be a police presense to ensure the event runs smoothly, this is also for the well being of people in attendece.
Health and safety: Obviously there is going to be a lot of paint used by the artists so anyone who has trouble breathing around paint or just does not like the smell should probably keep it relaxed. With the amount of artists at the location a massive audience gets drawn from Bristol and other places. With the vast amount of people you should be careful of attending that you can make your way through to waves of people. The event takes place on a high street which is still going about it’s usual routine so be careful when crossing the road. As well as that there are hot food venders near the event, people carrying equipment, scaffolding being put up and taken down. The is a lot to keep an eye on when at UPFEST but if you are being safe and responsible you’ll be fine.
boomsatsuma open evening
boomsatsuma open evening open floor plan by Robert Lynch

This open floor plan was created by myslef given information gained from doing a recce of the location. We all agreed for a design aspect we'd have orange balloons dotted about the place to add a playful vibrant as well as carrying the boomsatsuma branded colours. As well as the balloons we agreed we'd have Mac's set up to showcase students work as well as poster on the walls for further branding.
boomsatsuma open evening student profile (template by Adele Cousins)

This is my personal student profile to be used at the boomsatsuma open evening, we used these profiles for future students to look at and see what kind of students boomsatsuma have right now. The template was created by a crew member Adele Cousins and has areas to be filled in with information from influential figure to basic information.
Risk Assesment by Azaan Kirat

These are the risks that were assessed by Azaan Kirat after using the location recce for information as well as personally visiting the venue. These risks seemed the most prevalent or relevant due to the event we are hosting and the venue being used.
Legal and Ethical by Hassan Kirat

After considering the type of event we'd be holding as well as the people who would be attending Hassan made this list of legal and ethical considerations. It's important we follow this list as at the end of the day we are the brand we're representing, we can't compromise the intergrity of the brand otherwise the event will not work.
Budget for Engine Shed by Alon Farrow and Robert Lynch

This is the list of spending cost on props that was made by myself and Alon Farrow, all that was needed was to go on Amazon look up the props and equipment we wanted them added the prices into our spending costs.
Travel arrangements by Emma Loughlin

This is the travel arrangments made by Emma Loughlin, she checked the bus timetable so anyone who was a crew member travelling to the venue knew which busses to get and at which time.
Catering and hospitality

All of us involved in the event took on some sort of role when it came to hospitality, for example myself and other students were in the room to greet potential students and their parents answering any questions they may have while giving them useful information about the course. The catering was taken care of by a boomsatsuma member John, who was also the client for this open evening.

PROMOTION AND ADVERTISING

The promotion and advertising was handled using boomsatsuma's existing promotion material, these screen shots above are from boomsatsuma's twitter page and education website pages. The posters and other promotional pieces are used to showcase and promote boomsatsuma's media diploma course all over Bristol as well as its professional acting diploma. These promotional pieces were on a table at the event for people attending to take or look at while waiting for the talk to begin. The posters were also planned to be mixed in with the student profiles to create a collage on the wall of boomsatsuma promotion and content.

Some of the promo pics and posters were taken from boomsatsumas twitter as that is one of the places they are most effective. Though many have been printed of as they are perfect for events live the ones we will host.
My Specific Role During The Event
During the event my role will be to meet future boomsatsuma students and their parents as they arrive at the event. My job will to be to answer any questions or concers that they may have about the course as well as giving them competent information I have invlolving the course from a students point of view as well as how I have found the course personally. A well as meeting students and parents anothe role of mine was to help with the setting up of the event, I mainly helped with Balloons as well as tables and Mac's.

FEEDBACK FROM THE EVENT

Evaluation of event based off of feedback;
- Fitness for purpose: The event served it's purpose both from my perspective as well as the feeback given about the event. The event was entailed as an open evening to welcome new students to our course, give them a taste of what we do and just being welcoming. As well as the event being served as an open eveing it was a chance for us all the exibit some of our work and show people the kind of work we are producing at boomsatsuma. As well as out personal work on show me and another student got the chance to create a show reel of others work to be on a constant loop at the event on a large screen.
- Proccess Followed: The first thing that took place for the event was a project brief where we were told what the event needed to be and roles we could take. The brief lasted around 20 minutes where Junior (project client) explained to us what he see's this event being. After that we planned the event from decorations to work being diplayed as well as assigning roles for everyone involved.
- Strengths and Weaknesses: Strengths of the event was everyone fulfilled their personal roles to some extent as well as everyone helped set up the event and being welcoming. As we had a good amount of time to prepare we were all able to exacute our roles with success. Weaknesses would be the very few amount of people who did not turn up for the event on both days and did not contribute to the event much. The event was very welcoming to the students and parents and we had plenty around the room to guide them to such as work, videos and programmes.
- Appeal to audience: I imagine the event was very appealing to the audience as it was full of vibrant colours as well as vibrant people. The event was not like a normal open evening in the sense that it was run by boomsatsuma students who were meeting parents and their kids. It gave it a fresh touch and approach.
